Share work safely

You can share tasks, Drive files and folders, skills, agents and applets. Each share has two parts:

  • People with access: named people, agents or user groups, each with a role.
  • General access: who else can open it without being named.

Roles

  • Viewer can open and read it.
  • Editor can change it. On a task, an Editor can also reply.
  • Owner made it and can do everything, including delete it.

Give people Viewer unless they need to change something.

General access

  • Restricted: “Only people with access can open”.
  • Your workspace (shown by its name): “Everyone in [workspace] can access”.
  • Your organization (shown by its name): “Anyone in [organization] can access”.

On most organizations there is no public link, so nobody outside your organization can open what you share.

Start with Restricted and widen it if you need to. Adding people later is easy, but you can’t undo an overshare. If the whole team needs something, share it with the workspace rather than person by person, so new team members get access automatically. Choosing your organization means everyone at your company can open it, so don’t use it for anything sensitive.

Share something

  1. Open the share dialog. On a task, click the faces in the header, then Share. On a Drive file, use its ⋯ menu > Share. On a skill, click Share.
  2. Type in “Add people, agents, or user groups…”. Pick the people, then choose their role.
  3. Click Share. To back out, click Cancel.
  4. Set General access if a wider group should see it.
  5. Click Copy link and send the link. It only opens for people who have access, so add them first. Click Done to close.

To remove someone’s access, open the dialog again and remove them, or set General access back to Restricted.

Before you share

Anyone you share a task with can read the whole thread, including files the agent opened. Read through it first.

Sharing a file with an agent lets every task that uses that agent reach the file.

On newer organizations. With the newer permissions system, General access also offers Anyone with the link, with optional expiry and use limits. Admins can turn public links off for the organization in Settings > Organization > Roles > Share levels. Changes take effect straight away, with no Save step: “They get access right away. No email is sent.”
