Find your work in Drive

Drive holds your files and everything agents make. Agents save their work as files, such as .docx, .xlsx and .pptx. Each workspace has its own drive, and everyone in that workspace sees the same files. You also have files of your own.

Make a client folder, upload files, open them in the editor, share with the workspace, find a file, hand it to an agent, and restore from Trash (1:45).

From a task

Click Open in Drive (the folder icon) in the task header. It opens the folder that holds this task’s files.

From the rail

Click Drive. The panel shows:

  • All files, Your files and Shared with you;
  • Recents, your most recent files;
  • Kinds, to filter by documents, spreadsheets, presentations or images;
  • pinned folders, Shared drives (one per workspace) and Trash.

To find an old output, use Kinds or search instead of going back through tasks.

Open, edit and download

Double-click a file to open it, or use its ⋯ menu > Open. Word, Excel and PowerPoint files open in a full editor inside Context, where you can edit them; a spreadsheet keeps all of its sheets. Download and Share sit at the top of an open file. To download from the list, use a file’s ⋯ menu > Download. For a folder, choose Download as ZIP.

Find a file

Type in Search this drive, then narrow the list with the Type, People and Modified filters. People finds files someone owns or shared.

Add and organize files

Click New > Upload files, Upload folder or New folder, or start a Document, Spreadsheet, Presentation or Markdown file. You can also drag files onto a folder, and they upload straight into it. A file’s ⋯ menu lets you rename, Share, Move to…, Make a copy, Download or Move to trash. Files in Trash can be restored from its ⋯ menu > Restore.

Before you upload, decide where the files should live:

Put it inWhenWho can see it
The workspace’s driveTeam files: templates, data, past reportsEveryone in the workspace, and its agents
Your filesDrafts and anything personalOnly you, unless you share it

Moving a file later changes who can see it, so check before you move it into a workspace.

Hand a file to an agent

Choose Add to chat in a file’s ⋯ menu to give it to your agent, or type @ in the composer to mention a file by name. When an agent needs many sources, put them in one folder and attach the folder. Tell the agent where to save what it makes, such as “save it to the Demo Northwind folder”, and it puts the result next to the sources instead of in the task’s own folder.

An agent can only use files you attach, mention or give it access to. If it says it can’t find a file, attach it.

Best practices

  • One folder per client, deal or project in the workspace’s drive, named so anyone can find it (“Northwind Capital”, not “Files 2”). Keep the sources an agent needs together in it.
  • Team files in the workspace drive, drafts in Your files. Move a draft into the workspace once it’s ready for the team to see.
  • Share the folder, not each file. Give the workspace Viewer in General access when the team should read but not change a file. See Share work safely.
  • Ask agents to save beside the sources. Name the folder in the ask, so outputs don’t scatter across task folders.
  • Pin the folders you use every day with Pin folder in a folder’s ⋯ menu.
  • Check before you move. Moving a file into or out of a workspace drive changes who can open it.

On newer organizations. Organizations that use the newer permissions system have a simpler Drive page. It has Home (with For you and Recent), Shared with me, Pinned and Trash, then Places, where you find My Drive and each workspace’s drives. Files can also be shared with Anyone with the link.
